AMBC Tour of Wales 2025 – Terms, Conditions & Liability Waiver

Please read and accept the following Terms, Conditions & Waiver for your  participation in the Event.

General Information

RouteGT Ltd (the “Event”) is not a race or time trial.

Participants must not compete with each other or other road users in any way. Any participant found doing so will be removed from the Event without a refund. All drivers must operate their vehicles with care and attention for their own safety and the safety of others.

RouteGT Events are not guided tours; they are navigational road trips. Each day, participants will be provided with a suggested route, but navigation is their responsibility using personal maps or Sat Nav systems. While cars may travel in groups, each participant must independently choose their route.

Risks Associated with Participation

By participating in the Event, I acknowledge and accept that there are inherent risks involved, including but not limited to:

  • The possibility of vehicle accidents resulting in damage, injury, or death.

  • The risk of mechanical failure, which may lead to delays, additional expenses, or the inability to complete the Event.

  • Adverse weather conditions that may impact driving safety and visibility.

  • Road hazards, including poor road surfaces, unexpected obstacles, and dangerous driving conditions.

  • The potential for injuries from physical activities related to the Event.

  • Legal and regulatory risks, including fines, penalties, or legal consequences for failure to comply with local laws.

  • Medical risks, including illness, injury, or emergency situations that may require hospitalization or medical treatment.

I voluntarily assume full responsibility for all risks, including the potential for financial loss, injury, or death. I understand that the Event organizers do not provide insurance coverage for participants and that it is my sole responsibility to secure and maintain appropriate insurance.

Liability Waiver and Release

I, on behalf of myself, my heirs, executors, administrators, and legal representatives, waive, release, and forever discharge the Event organizers, including officers, directors, employees, consultants, agents, and sponsors, from any and all claims, damages, injuries (including death), or liabilities arising from my participation in the Event—even if such damages or injuries result from the negligence of the aforementioned parties.

By participating, I acknowledge and accept these terms.

Third-Party Liability Disclaimer

The Event organizers, RouteGT Ltd, shall not be held liable for any injury, damage, loss, or inconvenience caused by third parties, including but not limited to:

  • Other participants, spectators, or third-party drivers.

  • Vendors, service providers, hotels, transport companies, or event partners.

  • Local authorities, law enforcement, or officials.

Participants acknowledge that RouteGT is not responsible for third-party actions, negligence, or misconduct and assume full responsibility for resolving any disputes or claims that may arise independently.

Age Restrictions

All participants must be 18 years or older on the first day of the Event.

Drivers & Licensing

All drivers must hold a valid full driving licence for the duration of the Event. If required by the country of travel, drivers must also have an international driving permit. Each participant must possess a valid passport and necessary visas for all destinations covered by the Event. It is the sole responsibility of the participant to ensure they meet all legal requirements for driving in each location.

Vehicle Requirements

Participants must ensure that their vehicle is:

  • Legally licensed and adheres to all road traffic laws in the country/state of travel.

  • Roadworthy and fit for long-distance travel throughout the Event.

  • Compliant with all applicable vehicle specifications and regulations for the Event locations.

  • Properly maintained and in good mechanical condition before the Event begins.

Insurance Coverage

All participants must maintain appropriate insurance coverage for the duration of the Event, coverage may include:

  • Motor liability insurance – Covering damage or injury caused to third parties.

  • Personal liability insurance – Protecting against claims for injury or damages due to participant actions.

  • Medical insurance – Providing coverage for accidents, medical emergencies, or hospitalization during the Event.

Participants are responsible for confirming that their insurer is aware of their involvement in the Event and that all relevant risks are covered.

Breakdown & Recovery Cover

Participants are strongly advised to have breakdown and recovery assistance applicable to all areas covered by the Event. This ensures:

  • Roadside assistance for mechanical failures.

  • Vehicle recovery and transport to a repair facility if necessary.

  • Alternative transport or accommodation provisions if a breakdown prevents completion of the route.

RouteGT does not provide roadside assistance or recovery services. Any costs related to vehicle repairs or recovery are solely the participant’s responsibility.

Required Documentation 

  • Driving licence and/or permits (for all drivers)

  • Relevant insurance documents

  • V5C (logbook), permission for use, or vehicle hire certificate

  • MOT certificate (roadworthiness of the vehicle must be ensured beyond the MOT validity period)

While RouteGT may request proof of these documents, it remains the sole responsibility of participants to ensure their validity throughout the Event.

Local Law Compliance

Participants must comply with all local laws and regulations, including but not limited to:

  • Speed limits and highway safety laws

  • Vehicle regulations

  • Alcohol and drug restrictions

Loan of Radio

RouteGT provides radios to participants for communication and coordination during tours. These devices must be handled responsibly, kept in good working condition, and returned at the conclusion of the event. Any loss, damage, or failure to return a radio may result in charges covering repair or replacement costs. Participants must report any malfunctions or issues promptly to RouteGT. The company reserves the right to assess returned radios and apply charges if necessary.

Use of Radios

Radios enhance communication among tour participants, but drivers must always prioritise road safety. They must ensure that radio use does not distract from driving or interfere with vehicle control. Participants are responsible for understanding and complying with all relevant laws regarding radio usage in the areas they drive through. Radios must not be used in a manner that disrupts other road users or poses a safety risk. RouteGT accepts no liability for any incidents arising from misuse, distracted driving, or failure to adhere to legal regulations.

Accommodation

For teams of two, accommodation will be twin or double rooms. While the Event organizers will attempt to meet room type requests, availability cannot be guaranteed.

Hotels may require a credit card deposit at check-in for additional costs or damages.

Conduct & Responsibility

  • Participants must behave responsibly and appropriately at all times.

  • Driving under the influence of alcohol, drugs, or any intoxicating substance is strictly prohibited.

  • Any illegal behavior will result in immediate removal from the Event without refund.

Event Delays

RouteGT cannot be held responsible for travel delays before, during, or after the Event, whether foreseen or unforeseen. Any additional costs incurred due to such delays remain the responsibility of the participant.

Refunds

No refunds will be provided for participants who fail to complete the route, withdraw voluntarily, or become unable to continue for any reason.

Changes & Cancellation

The Event organizers reserve the right to modify the schedule or cancel the Event at any time.

Image Rights

All participants consent to being photographed and filmed during the Event. They grant permission for their name, image, likeness, voice, and biographical material to be used in Event-related media and promotional materials.

Participants may take personal photos and videos for non-commercial purposes only.

RouteGT Branding

Participants agree to display RouteGT and official Event sponsor stickers on their vehicles. These stickers are non-permanent and easily removable without damage. RouteGT assumes no liability for any claims regarding sticker application or removal.

Branding Restrictions

Participants are not permitted to use RouteGT logos or branding for any purpose other than displaying Event stickers on their vehicles.

Event Copying

By accepting these terms, participants agree not to organize, invest in, or fund any rally or driving event that replicates RouteGT’s unique features, branding, or goodwill. Legal action will be taken against violations.

Force Majeure

The Event organizers cannot be held liable or issue refunds if the Event is altered or canceled due to circumstances beyond their control, such as:

  • War, civil unrest, or industrial disputes

  • Natural disasters or adverse weather conditions

  • Traffic disruptions

  • Changes in venue availability

Indemnity Agreement

Participants agree to indemnify the Event organizers and associated parties against any claims, lawsuits, or legal actions arising from their participation, including violations of laws or breaches of these Terms and Conditions.

Governing Law & Jurisdiction

These Terms and Conditions shall be governed by the laws of the United Kingdom. Any disputes arising in connection with the Event shall be resolved under the jurisdiction of the United Kingdom’s courts.

Dietary Requirements & Allergies

RouteGT strives to accommodate dietary preferences and allergies for tour participants whenever possible. It is the participant’s responsibility to inform RouteGT of any dietary restrictions or allergies at the time of booking. While RouteGT liaises with restaurants and catering providers to ensure suitable options are available, participants acknowledge that third-party venues prepare meals and that RouteGT cannot guarantee an environment free from cross-contamination.

Participants with dietary restrictions or allergies must also take personal responsibility for verifying meal suitability with restaurants and catering providers during the tour. Those with severe allergies should carry emergency medication (e.g., EpiPens) and ensure they take necessary precautions. RouteGT assumes no liability for allergic reactions or dietary-related issues during the event.

Medical & Emergency Contact Information Requirement

Participants must provide accurate emergency contact details prior to the Event, including the name, phone number, and relationship of at least one emergency contact.

Additionally, participants must disclose any medical conditions, allergies, or other health concerns that could affect their ability to safely participate in the Event. This information will be kept confidential and used only in case of an emergency.

By participating, you confirm that:

  • You are physically fit to take part in the Event.

  • You have disclosed any relevant medical conditions that could require attention during the Event.

  • You accept full responsibility for managing your own health and safety while participating.

Event organizers are not responsible for providing medical care but will facilitate emergency response if needed. Participants assume full responsibility for any medical expenses incurred.

Emergency Medical Treatment

Participants acknowledge and agree that in the event of a medical emergency, the Event organizers may arrange for emergency medical treatment as deemed necessary. Participants assume full responsibility for any medical expenses incurred and understand that the organizers bear no financial liability for medical care, hospitalisation, or related services.

Severability Clause

If any provision of these Terms and Conditions is found to be invalid or unenforceable by a court of law, the remainder of the Terms shall remain in full force and effect. The unenforceable provision will be replaced with a valid and enforceable provision that closely reflects the original intent.

Terms & Conditions Updates

The Event organizers reserve the right to modify these Terms and Conditions at any time. Continued participation implies acceptance of any amendments.

Electronic & Online Agreement

By proceeding with online registration, participants acknowledge and agree that electronic acceptance of these Terms and Conditions is legally binding, just as a physical signature would be.

Participants affirm that:

  • They have read and understood all sections before accepting.

  • They accept full responsibility for adhering to all stated rules and requirements.

  • They understand that their electronic agreement is legally enforceable and may be used in legal proceedings if necessary.

Electronic acceptance constitutes agreement to waive liability, assume all risks, and comply fully with the outlined Terms.
